Quick answer: Agree what a qualified enquiry means, then track confirmed appointments, attendance and recorded sales as separate stages. Connect sources where the records support it, label unknowns and compare outcomes with the actual work and costs involved.

Agree the definitions before opening a dashboard

A form submission, a booked slot and a showroom sale are different events. If they all appear as a conversion, it becomes difficult to know whether marketing is creating useful demand or simply more activity. Define the stages with the store team before choosing the report.

For example, a qualified bridal enquiry could be a genuine request for help with a ring or consultation that your store can serve. It should exclude spam and duplicate submissions. A repair question may be valuable, but it belongs in its own category if you are assessing a bridal campaign. Write down the definition and apply it consistently.

Connect the records without overstating attribution

Keep a stable enquiry reference as a customer moves from form to booking to store visit. Where permitted and supported by your systems, associate the appointment with the recorded order. Preserve the original source and later interactions rather than overwriting everything with the final click.

Ask customers how they found you, but treat that answer as one piece of evidence. Someone may have seen a video, searched the brand later and then walked in. The website, ad platform and customer can each describe a different part of the same journey.

Create an explicit unknown-source category. A report that admits incomplete matching is more useful than a precise-looking chart based on guesses. Check for duplicate contacts, repeat visits and orders associated with more than one campaign before drawing conclusions.

    Use ratios to locate friction

Confirmation rate is confirmed appointments divided by the relevant qualified enquiries. Attendance rate is attended appointments divided by confirmed appointments. An appointment-to-sale rate needs a clearly defined set of attended visits and a consistent time window for matching resulting orders.

If the denominator is zero, show ‘not available’ instead of a misleading percentage. If the group is small, show the underlying counts alongside the rate. Compare similar categories and periods where possible; do not treat a seasonal gifting period as directly equivalent to an ordinary bridal month.

The purpose is to identify questions. If enquiries increase while attendance stays flat, inspect confirmation and scheduling. If visits increase while recorded sales do not, review fit, availability, follow-up and the matching process with the team. A dashboard alone cannot establish the cause.

    Separate sales reporting from profitability

Ad-platform purchase values are not the same as reconciled sales or profit. Review cancellations, returns, duplicate events and the period in which orders were recorded. Where revenue is reported, state whether it is gross or net of the adjustments relevant to your accounting process.

Do not infer profit from revenue or ROAS alone. Product costs, fulfilment, staffing, marketing fees and other business costs matter. Use the store’s finance records and accounting definitions for a profitability assessment. The marketing report should expose its assumptions and boundaries rather than replace the books.

Turn the review into a practical decision

For each priority category, record the observed issue, supporting evidence, next change, responsible person and review date. Choose an improvement that addresses a real constraint: a broken form, an unclear quote request, an unassigned inbox or a guide that needs better answers.

Keep a short change log. If you alter the offer, form and follow-up simultaneously, it becomes harder to understand which change mattered. When the business needs several changes at once, document them honestly and avoid claiming a controlled experiment.

Ask staff whether the reporting matches what they experienced. Their feedback can reveal missing walk-ins, incorrect categories or appointments marked as unattended after a reschedule. Fix those data issues before using the report to expand spend or change a successful customer experience.

Working example: A useful review note: Custom-design requests are arriving without project references. Add an optional inspiration-link field, make it visible to the assigned designer and review whether the next consultations require less clarification. This is a testable operational hypothesis, not a promised sales lift.

    Common questions

Is a calendar click a booked appointment?

No. A click shows intent to open the booking path. Count a booking only when the scheduling system confirms it, and record attendance separately.

Can we attribute every showroom sale to marketing?

Usually not with complete certainty. Match records where possible, preserve customer-reported sources and label unknown or multi-touch journeys instead of assigning a source without evidence.
